01Who we are and what this notice covers

This Privacy Policy explains how Nexabase Enterprise Solutions Private Limited (“Nexabase”, “we”, “us” or “our”), a company incorporated under the laws of India, handles personal data collected through this website.

This notice covers this website only. If you licence the BEAM software, Nexabase’s handling of data inside your own SAP systems is governed by the BEAM End User License Agreement and, where applicable, a separate Data Processing Agreement — not by this notice.

Information you give us

We collect information you submit through the forms on this site.

Demo request
Name, company, official email address, and — if you choose to provide them — phone number with country dialling code, the SAP modules, systems and applications you select, and any comments you write.
Newsletter
The email address you submit to receive product updates.
Correspondence
Any information you include when you email us directly.

Fields marked optional on the demo form are genuinely optional — the form can be submitted without them.

Information collected automatically

Our hosting provider records standard server logs when a page is requested, which typically include your IP address, browser type and version, the page requested and a timestamp. These are used for security, abuse prevention and diagnosing faults.

Cookies and tracking

This website sets no cookies. It uses no analytics, advertising, profiling or cross-site tracking technologies, and stores nothing in your browser’s local storage. If this changes, we will update this notice and, where required, ask for your consent first.

03Third-party services used by this site

Two third-party services are loaded when you view this site. In each case your browser contacts them directly, so they may receive your IP address and basic request information.

Google Fonts
Typefaces are served from fonts.googleapis.com and fonts.gstatic.com. Google may receive your IP address as part of that request.
Pexels
The background video on the home page is served from videos.pexels.com.

We do not control these providers’ own processing of the information they receive.

04How and why we use your information

We use the information described above to:

  • respond to your demo request and arrange a session;
  • answer questions you send us and provide support;
  • send product updates if you subscribed, and only until you unsubscribe;
  • operate, secure and improve this website; and
  • meet legal, regulatory and record-keeping obligations.

Where the law requires a legal basis for processing, we rely on your consent (newsletter), on steps taken at your request prior to entering a contract (demo requests), on our legitimate interests in operating and securing the site, and on compliance with legal obligations.

We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not build advertising profiles.

05When we share information

We do not sell your personal data, and we do not use it for advertising. This mirrors the commitment Nexabase gives licensed customers under the BEAM End User License Agreement.

We share personal data only in these circumstances:

  • Service providers — hosting, email delivery and CRM providers who process data on our instructions under written confidentiality and security obligations;
  • Professional advisers — legal, accounting and audit advisers, where necessary;
  • Corporate transactions — in connection with a merger, reorganisation or sale of the business or assets relating to BEAM; and
  • Legal requirements — where required by law, regulation or valid legal process, or to establish, exercise or defend legal claims.

06Where your information is stored

Personal data may be processed in India and in other locations where Nexabase or its authorised service providers operate, subject to applicable law and appropriate contractual safeguards.

Where personal data is transferred out of a jurisdiction that restricts international transfers, we rely on the transfer mechanisms permitted by that jurisdiction’s law.

07How we protect your information

We maintain reasonable administrative, technical and organisational safeguards appropriate to the nature of the personal data we hold. Access is limited to personnel who need it, and our staff and contractors are bound by confidentiality obligations.

If we become aware of a confirmed security incident affecting personal data in our possession or control, we will notify affected parties and the relevant authority without undue delay, as required by applicable law.

No method of transmission or storage is completely secure. Please do not send us sensitive personal data, credentials or production system details through the website forms or by unencrypted email.

08How long we keep your information

We keep personal data only as long as necessary for the purpose it was collected, and then delete or anonymise it.

Demo enquiries
24 months from our last contact with you, unless you ask us to delete them sooner.
Newsletter subscribers
Until you unsubscribe, plus 6 months to record and honour the request.
Email correspondence
24 months from the last message in the thread.
Server logs
90 days.

Where we are required to retain records for legal, tax or audit purposes, we keep them for the period required by that obligation.

09Your rights over your information

Depending on where you live, you may have the right to:

  • access the personal data we hold about you;
  • correct data that is inaccurate or incomplete;
  • erase data where there is no continuing basis to keep it;
  • withdraw consent at any time, without affecting processing already carried out;
  • object to or restrict certain processing;
  • receive a copy of data you provided, in a portable format; and
  • complain to your data protection authority.

To exercise any of these, email sales@nexabase.com. We will respond within the period required by applicable law. We may need to verify your identity before acting.

You can unsubscribe from product updates at any time using the link in any email we send, or by contacting us.

10Children’s data

This website is a business-to-business site directed at professional and enterprise audiences. It is not intended for children, and we do not knowingly collect personal data from anyone under the age of 18. If you believe a child has provided us with personal data, contact us and we will delete it.

11Changes to this notice

We may update this Privacy Policy to reflect changes in our practices or in the law. The version number and effective date at the top of this page will change when we do. Where a change is material, we will take reasonable steps to bring it to your attention.
